Design Standard Operating Procedure, a guide for designers to enable collaboration and fluid work efficiency. A Systems-Oriented Approach to Design Documentation

Establishing Predictable Operations

  • The Operational Deficit: Initiating projects without formalized documentation introduces unpredictable variables into the pipeline, ultimately leading to scope creep and fractured stakeholder alignment.

  • Knowledge Dump Mitigation: Unstructured discovery phases often obscure the line between a client's baseline hypotheses and validated operational constraints.

  • The Objective: Enforcing strict process compliance from project inception is mandatory to guarantee predictable resource allocation and pipeline optimization for tech product companies and B2B environments.

Phase 01 – Discovery

This phase establishes foundational constraints and business alignment. Tactical design execution is strictly prohibited during this stage.

Empathize Stage

  • Project Brief & Vision: Document the overarching client request, precise scope boundaries, and the long-term strategic ambition of the product.

  • Problem Statements: Capture the general market or user problems exactly as hypothesized by the client during initial briefings and knowledge dumps.

Define Stage

  • Product Goals & Deliverables: Establish measurable objectives and list exact output requirements. Scopes of work must be exact (e.g., explicitly distinguishing between collateral enhancements versus full identity creation).

  • Target Audience: Document the client's initially assumed demographic and hypothesized user base.

  • Mandatory Inclusions & Referencing: Specify non-negotiable features, compile competitor benchmarks, and log legacy documentation.

  • Timeline: Enforce a rigid schedule dictating phase milestones and final delivery dates.

Phase 02 – Design

Strict methodological boundaries must be maintained. Foundational research must translate business contexts before any structural architectural decisions occur.

The Research Stage

  • Business Goals as Problem Statements: Translate generalized client problems into quantifiable, actionable architectural objectives.

  • Identifying Target Audience: Replace initial demographic hypotheses with validated user personas grounded strictly in formal research and contextual understanding.

The Concept Design Stage

  • Information Architecture & User Flow: Map the structural hierarchy and define precise navigation paths required to complete primary objectives.

  • Wireframes: Construct low-fidelity blueprints to validate layout and logic before applying visual styling.

  • Moodboards (If Required): Curate visual references to establish thematic direction only when necessary for stakeholder alignment.

  • Final Mockups: Execute high-fidelity, production-ready visual designs incorporating all approved styling, spacing tokens, and UI components.

Phase 03 – Deploy

Developer handoffs lacking formal operational guidance result in severe front-end translation errors and delayed market launches.

Handoff

  • Dev Guide for Figma: Provision a static instruction manual within the file, dictating how developers must utilize Figma's Dev Mode to extract necessary specifications, tokens, and assets.

Quality Assurance

  • Peer / Internal Review: Execute a strict, checklist-driven evaluation covering six primary compliance factors: Formatting, Content, Usability, Accessibility, Alignment, and Consistency.

  • Production/External Review (Pre-deployment): Establish a mandatory feedback loop where the development team rectifies all comments. A Primary Approver must then execute a final sign-off to validate 1:1 adherence to the design architecture.

Operational Impact

  • Turnaround Time Reduction: Maintaining strict boundaries between research validation and tactical execution significantly improves overall turnaround time by preventing late-stage structural rework.

  • Pipeline Optimization: Mandating pre-deployment reviews and explicit checklist adherence guarantees that the fidelity of the final coded product matches the approved design.

  • Engineering Autonomy: Yields seamless, independent deployments executed by the engineering team with zero translation errors from the Figma canvas, completely passing all accessibility and usability audits.
